The Food Pantry or Food Bank Database is a Microsoft Access application designed to assist Food Banks and Pantries in tracking and reporting their client usage. The limited demo is free. The single user version of the program costs $99.00. The multi-user version is available for $300.00.

Information about your clients and their household members can be maintained in the system. Individual visits can be recorded along with all of the standard information you need to track such as the visit type, current client address, housing situation, assets, employment data, and other information such as ethnicity, reason for visit, and transportation. 

Features include scheduling, tracking multiple household members, and statistical reports based on a variety of criteria.

Options include inventory tracking and USDA Self Declaration of Income Form which allows clients to sign the form via a signature pad.

  • Scheduling
    Clients can be scheduled for visits and the Schedule report will display the schedule for the specified date range.
  • Visits
    When new visits are created, if there was a previous visit for this client, the data from the previous visit is copied into the new visit. Users can enter as much or as little data as desired to meet the Food Pantry needs. 
  • Reports
    The Analysis Summary report displays statistical summary data for the specified date ranges, visit types, and visit categories. 
  • The Daily Report by Category gives the counts of visit categories for the date specified.
  • The Daily Report by Name lists names of clients and visit categories for the date specified.
  • The optional USDA Report will generate printable USDA forms with signatures for clients signing during the selected time period.

Flexibility

For many of the drop down boxes, the list of possible values is editable by the user. The Assets tab in the Survey form offers a considerable degree of flexibility. Up to twenty different Assistance assets and ten different Insurance assets can be defined. Each of the Assistance Received assets can be defined as just a check box field such as WIC or can be both a check box and allow a value to be entered such as for Social Security.

Once a food bank client has been selected, there are several options available.

A new feature with this version of the program is the ability to schedule visits:

To avoid over-scheduling, users can view the schedule for the current client as well as all clients. Also displayed is the current client's visit history.

 

Also new with this version, is a revised functionality for editing clients and the corresponding household members:

In addition to editing the household members, a picture of the client can be added as well as general notes and income notes.


From the Client Select screen, a new visit can be created by clicking on the New Visit button. Also a previous visit can be viewed by selecting it from the list and clicking on Previous Visit. In either case the following screen will appear:

  In addition to the information visible on this snapshot, Housing, Assets, Employment, Comments and Other data can be tracked for a visit.

  Much of the selectable data such as Visit types and categories can be defined by the user. From the Client Select screen click on Options. The following screen will appear:
